Follow-up while you sleep

Someone fills in your form on a Saturday night. Before you're up on Sunday, they've had a thank-you, and the next follow-up is already scheduled. That's an automation.

Your automations

In your CRM, open Automations. Each one shows its trigger, whether it's active, and how many records are enrolled. Greenline's New lead nurture has two households enrolled right now. Create your own, or start from this one.

The canvas

Every automation is a flow on a canvas. It starts with a trigger, here New lead captured. Then a thank-you email, a two-day wait, a follow-up, a seven-day wait, and one more check-in. Add steps from the list on the left: waits, conditions, tasks, status changes and team alerts.

The email step

Click a step to edit it. An email step chooses who it goes to and which message to send. Insert field adds merge tags. Greeting tags use the person's first name, and record tags fill in details like the address.

Who hears from you

Some records have more than one person. On Bright Steps, each student has parents. Default send audience decides who hears from you: the primary contact only, a send-to contact like a guardian, or all contacts, each with their own consent.

Test with a dry run, then switch it on

Test before you switch it on. Pick a real record and run a dry run. Nothing is sent. On Summit Smile, Riley Brooks opted out of marketing email, so the dry run shows that step would be skipped. When it looks right, tick Active and save. New records enroll on their own.

Pro tip and your turn

Pro tip. Enrollment is per record, not per person. A household with three people runs the flow once, and the send audience decides who gets each message. Your turn. Open New lead nurture, pick your newest record, and run a dry run. Next up: forms, waivers and e-sign.
